n8n: definition, strengths and limits
Definition
n8n is a tool for workflow automation that lets you assemble flows from individual building blocks. A trigger starts it, then steps check, transform and pass data to other systems. What stands out is the option to run n8n on your own infrastructure, so data need not leave the house. n8n is an independent product, not a partner endorsement.
Why the Term Matters
For teams with strict data-protection needs, where data is processed is decisive. Because n8n can be self-hosted, control stays in-house, which counts for sensitive areas. For us it is one building block, not an end in itself. We judge tools by the specific case and say honestly where a tool fits and where another solution makes more sense.
When It Is Relevant
- Data should stay on your own infrastructure for privacy reasons.
- A flow connects several systems over interfaces.
- The team wants to build flows visibly and traceably.
- An AI step is to be embedded into an existing workflow.
When Not
When a team does not want to run its own infrastructure and a pure cloud solution suffices, another tool can mean less effort. Very simple links do not need a flexible tool either. And without upkeep, workflows age in any tool, including n8n.
Industries That Use It
- Healthcare: flows run on own infrastructure so patient data stays in-house.
- Public sector: privacy rules require processing under own control.
- Research: sensitive datasets are connected without handing them to third parties.
- Software teams: technical flows are extended flexibly with code steps.
Typical Use Cases
- A form entry is checked and written into several internal systems.
- Data from various sources is merged and reconciled.
- An AI step reads incoming texts and sorts them into the flow.
- A webhook receives events and triggers a follow-up process.
- Recurring reports are compiled and distributed.
- A company brain is fed new content through an n8n flow.
Decision Guide
| Signal | n8n fits | Alternative |
|---|---|---|
| Data must stay in-house | use self-hosting | pure cloud tools are out |
| Many systems over interfaces | flexible building blocks | a simple connector otherwise |
| No own infrastructure wanted | rather not | pick a hosted tool |
| Only two apps to connect | possibly oversized | a lean service is enough |
Example
A team with strict privacy rules runs n8n on its own infrastructure and builds the path from request to the entry in the internal system there. An AI step sorts free text, processing stays in-house. Whether n8n or another tool fits, we decide case by case. This describes the method, not an asserted client metric.
Service Connection
n8n is one of the tools we use to build AI agents and workflows, often connected to a company brain. Tool choice follows privacy and the case, not a fixed preference.
Sources
This framing describes common practice around n8n as an automation tool and is not a partnership. Feature scope, rights and data protection depend on version, operation and connections and must be checked case by case.
